Gaining competencies through international exchange is one of the most important advantages of studies at UTA. Thanks to foreign studies or traineeships you have a chance to develop language as well as practical skills comprehensively. Moreover, the environment you go to will positively influence the development of your competencies expected in the labour market.

  • SMS – student mobility for studies (from 2 to 12 months)
  • SMP – student mobility for traineeships (from 2 to 12 months) – including recent graduates who were qualified for a mobility during the last year of studies.

Recruitment for the Erasmus+ Programme

Recruitment

Recruitment for studies and traineeships under the Erasmus+ Programme is conducted based on the 2024 Recruitment Regulation and applies to mobility planned for academic year 2024/2025 and 2025/2026.

The recruitment deadline is announced to the public (usually September/October for summer semester mobility and February/March for winter semester mobility).

Application forms submitted after the deadline won’t be considered.

The evaluation and selection of candidates for mobility within the Erasmus+ Programme are performed by the Recruitment Committee consisting of the Institutional Erasmus+ Coordinator, Departmental Erasmus+ Coordinators, and a representative of the Student Council.

Recruitment step by step:

  1. Check the qualification and selection criteria for students.

    Any full-time or part-time UTA student (regardless of citizenship) who meets all the following conditions may apply for the mobility:

    is at least on the second year of first-cycle studies or is on the first year of second-cycle studies;

    at the moment of the recruitment and departure to a mobility under the Erasmus+ Programme, student is not on dean’s leave and won’t be on the leave during the mobility;

    has no financial obligations towards UTA;

    correctly filled in and submitted the application form and the required attachments by the deadline.


    Students basic qualification and selection criteria are:

    average grades from the last two semesters of studies already completed, and in case of students in the first semester of second-cycle studies average of grades obtained in the last two semesters of first-cycle studies;

    the level of documented knowledge of a foreign language spoken at a receiving university, which enables the student to complete the studies (copies of certificates, diplomas, or a certificate from a foreign language teacher at UTA). If the knowledge of a foreign language is not documented, the Recruitment Committee may conduct a language test.

    The ranking list prepared by the Recruitment Committee is based on the average grade. The Committee has the right to apply additional qualification and selection criteria, which include:

    the level of involvement in activities at UTA (membership in scientific organisations, participation in scientific conferences, etc.);

     the level of activity outside the University (e.g. in non-governmental organisations).


    The Recruitment Committee reserves the right to conduct interviews with selected candidates.

  2. Fill in the application form and submit it via e-Usługi platform with necessary attachments within a deadline.
    *In case of technical problems with sending the e-form, please contact the Erasmus Office urgently and provide a paper form within a deadline (downloadable file in DOCUMENTS TO DOWNLOAD).
  3. Wait for the announcement of the recruitment results.
  4. Check what to do before the departure – check the section Before, during, and after the departure below.
  5. Fill in the resignation form (if you resign from the mobility) and submit it to the Institutional Erasmus+ Coordinator. The coordinator proposes another person from the standby list in your place. This person is entitled to mobility according to general rules.

The Erasmus+ programme enables international exchange between partner universities located in the European Union and beyond. Through participation in the Programme it is possible to co-finance student mobility for exchange studies and traineeships, as well as University staff mobility in order to improve their professional competences.

Before

  1. A student is obliged to prepare, before departure, in cooperation with the relevant Departmental Erasmus+ Coordinator and the partner university/receiving institution:
    For studies:

  2. A student is obliged to read the Erasmus Student Charter.
  3. A student is obliged to deliver to the Erasmus Office insurance covering the period of the mobility.
    Insurance information

    Each student is responsible for insuring himself/herself before departure.
    The insurance covering the duration of stay at the receiving institution MUST include:

    health insurance and insurance against accidents for a duration of travel and stay at the receiving institution, including the costs of transportation to the home country;

    liability insurance covering at least damages caused by the participant at the place of studies/traineeships.


    IMPORTANT! The insurance must cover the costs of a body’s transportation to its home country in case of death.

    The insurance is for a mobility participant and the participant will take advantage of the insurance abroad if necessary. The University doesn’t insure the mobility participants in any additional way.
    It is the participant’s decision about the scope and amount of the insurance and the above-mentioned are the minimum requirements imposed by the Erasmus+ Programme.

    if the participant is insured in the National Health Fund (NFZ), the European Health Insurance Card (EHIC) issued by the NFZ guarantees the insurance of treatment costs and the right to receive healthcare on the territory of the EU and countries participating in the Erasmus+ Programme. Details at the NFZ website;

    insurance against accidents and liability insurance is available at any insurance company;

    some foreign universities require incoming Erasmus+ students to buy compulsory insurance. To avoid double expenses, find out before departure what formalities you will have to complete at the receiving university;

    insurance is also offered by common student cards. The cards are one of the most popular forms of insurance chosen by the students going on Erasmus. The EURO26 or ISIC card is not only an insurance policy ensuring insurance outside Poland but it is also a kind of international student status certificate and a pass to discounts.

  4. A student qualified for studies or traineeships is oblidged, before departure and upon return, to complete a mandatory online language proficiency test in the language of mobility, in the European Commission’s “Online Language Support – OLS” system at the EU Academy ( podlinkować EU Academy: https://academy.europa.eu/) and to use the resources of the platform, which allows for the improvement of 29 languages: English, Bulgarian, Croatian, Czech, Danish, Estonian, Finnish, French, German, Greek, Hungarian, Irish, Italian, Latvian, Lithuanian, Maltese, Dutch, Polish, Portuguese, Romanian, Slovak, Slovenian, Spanish, Swedish, Italian, Icelandic, Macedonian, Norwegian, Serbian and Turkish. The result of the language test does not affect the award of the scholarship. Those for whom the language of mobility is their native language are exempt from the test. Licenses for students to take the language proficiency test and the online language course will be made available automatically by the OLS system or by UTA.
  5. A student must submit to the Erasmus Office a legibly signed statement concerning payment of the Erasmus+ Programme grant, in which a number of a bank account in EUR currency should be given to which the grant will be transferred – download a file.
  6. A student who meets the requirements related to ‘Green Travel’ which stands for traveling by using lower carbon emission means of transport is obliged to deliver a legibly signed statement referring to the ‘Green Travel’ – the statement should be obtained from the Erasmus+ Programme Coordinators.
  7. A student with citizenship other than one of a member state of the EU or European Economic Area should check on its own the rules of entering and legalising his/her stay on the territory of the receiving country as a participant of the Erasmus+ Programme.
  8. A student, before departure, is unconditionally obliged to sign a grant agreement in the Erasmus Office. Later on, the student receives 80% of the grant awarded. The remaining 20% are counted based on the Confirmation of stay and paid after the student’s arrival and full mobility recognition.
  9. Safety abroad:

 

For the sake of safety during the mobility abroad, we recommend registering your stay in the Odyseusz portal (only for students with Polish citizenship) created by the Ministry of Foreign Affairs Republic of Poland (MFA).

Thanks to the registration:

in case of emergencies abroad, the MFA will be able to contact you,

provide you with necessary information and assistance through the appropriate diplomatic and consular post,

if you wish – you will be informed about the possibility of registering to participate in elections abroad.

During

  1. After arrival at the partner university/receiving institution a student is obliged to send a signed Confirmation of arrival to the Erasmus Office – download a file
  2. A student notifies the University of any changes to the Learning Agreement immediately, but no later than 4 weeks after starting the classes at the partner university/traineeships at the receiving institution by sending an updated Learning Agreement by filling Changes to the Learning Agreement via the website.

After

Upon your return from the mobility, you are responsible for providing the Erasmus Office with:
  1.  For studies:

    A confirmation from the partner university stating the actual duration of your stay on the mobility, including start and end date of the mobility.

    Transcript of Records obtained from the partner university.

  2. For traineeships (within 7 days from the end date of the mobility):

    A confirmation from the receiving institution stating the completion of the traineeships programme with its evaluation, and the actual duration of your stay (start and end date of the mobility).

    And:
  3. Fill out an individual online EU survey report no later than 30 days after receiving the request to do so. If you do not submit the report, you may be asked to make a partial or full refund of the EU grantor to submit a supplementary online report related to the recognition.

Funding from the Erasmus+ Programme

For studies or traineeship mobility students receive a grant awarded under the Erasmus+ Programme. The grant doesn’t provide full coverage of costs related to staying abroad but only covers the difference between the costs of living in Poland and those in the host country. The Committee qualifying students may decide to send a student to the mobility for studies/traineeships under the Erasmus+ Programme without financial support (grant).

The financing duration of the mobility (i.e. grant payment) depends on the number of funds granted to the University of Technology and Arts in Applied Sciences in Warsaw by the National Agency for the Erasmus+ Programme:

for studies (SMS) – minimum 2 months (60 days), maximum 5 months (150 days) – check the grant value,

for traineeships (SMP) – minimum 2 months (60 days), maximum 3 months (90 days) – check the grant value.

Attention! UTA students in the academic year 2024/2025 within KA131/2024 project are exempt from 30% of the UTA tuition fee for the time of their STUDIES abroad under the Erasmus+ Programme. The total amount of tuition fee exemption and other discounts can’t exceed 15% of the due tuition fee for a study cycle.

Under the KA131/2024 project ‘participants with fewer opportunities’, to whom belong students with disabilities (with documented recognised disability) and those from disadvantaged backgrounds (who are entitled to a social grant at the moment of the recruitment) will receive an allowance of 250 EUR per month.

A student with a disability pursuing mobility is entitled to receive additional funds under the “participant inclusion” support to cover costs directly related to the disability, without which the implementation of the trip would not be possible (other than standard costs related to travel and subsistence during the stay abroad), which exceed the amount of the supplementary payment to the individual support rate for participants with fewer opportunities, without which the implementation of the mobility would not be possible. The amount of the additional amount will be determined on the basis of a special application, prepared by the student and submitted through UTA to the National Agency of the Erasmus+ Program (NA). The template of the application submitted to the NA is available on the website of the National Agency of the Erasmus+ Program: erasmusplus.org.pl. The application must be sent to the NA immediately after the student’s eligibility for the mobility and no later than 5 weeks before the student’s departure on the scholarship. In the special application for additional costs directly related to the disability, the student must specify in detail the needs arising from the disability, other than standard travel and living expenses while abroad. Each additional cost will require a detailed justification, an indication of the amount of the anticipated expenses, and a statement of the source from which the anticipated amount of expenses was calculated. Each request will be considered individually by the NA. The settlement of additional costs will be a settlement of actual costs. Detailed information on the terms and conditions of the grant has been published in the NA announcement available at: erasmusplus.org.pl.

In case of students, graduates and participants ‘with fewer opportunities’ to:
– short-term mobility to programme and partner countries (exempt countries from regions 13 and 14),
– long-term mobility to partner countries (exempt countries from regions 13 and 14), the participant gains also funds to cover travel expenses calculated on the basis of the distance calculator according to the table below:

“Green Travel” is defined as green travel using low-emission, sustainable means of transportation such as bus, train, bicycle, carpooling – a joint trip by people on the same route, for the same destination, in the car of one of the co-passengers. The method of documenting the implementation of travel by low-carbon means of transport will be indicated in a separate communication.

Students and graduates who meet the requirements related to “green travel”, in case the round trip is made by low-carbon, sustainable means of transport, will receive “green travel” lump sum, in addition to individual support.

In the case of meeting the travel conditions specified as “green travel”, students and graduates participating in mobility are entitled to receive up to 2 additional day for living expenses during travel as part of individual support.

Payment of domestic grants (e.g. social grant, Rector’s grant) to which the student was entitled before the departure will continue during the student’s mobility abroad.
